Manual approvals may look simple, but they often slow down daily operations. When you approve requests through WhatsApp, email, phone calls, or verbal confirmation, it becomes hard to track status, maintain accountability, and avoid delays.

A digital approval workflow solves this by routing requests to the right person, sending reminders, recording decisions, and keeping a complete approval history.

Common Manual Approval Problems

Requests get lost

Approval requests sent through messages or email are easy to miss. Employees then follow up repeatedly, while managers may not know a request is pending.

Decisions get delayed

If the approver is busy, traveling, or on leave, the process stops. Automated workflows can send reminders, escalate overdue requests, or assign another authorized approver.

No clear status

Employees often do not know whether a request is pending, approved, or rejected. A workflow system shows the current status, reducing unnecessary follow-ups.

Weak accountability

Verbal or chat-based approvals are difficult to track later. Automated systems record who submitted the request, who approved it, and when the decision was made.

Processes That Need Digital Approvals

Many everyday tasks can benefit from workflow automation:

Leave and attendance requests
Expense claims and reimbursements
Invoice and payment approvals
Purchase orders and vendor payments
Quotations and discounts
Project change requests
Employee onboarding and access requests
Document approvals

These processes involve multiple people and business rules, making manual handling slow and error-prone.

What a Better Approval Workflow Looks Like

A digital approval process does not remove human judgment. It makes approvals organized and traceable.

Clear request form — Employees submit complete details in one place.
Automatic routing — The system sends the request to the correct approver.
Notifications and reminders — Approvers receive alerts when action is needed.
Escalation rules — Delayed requests can be escalated to another manager.
Approval history — Every decision is recorded with time, approver, and comments.

This reduces waiting time and helps identify bottlenecks.

Business Benefits

Faster approvals improve the entire business. Invoices are processed on time, employees receive quicker answers, customers get faster quotations, and managers gain better visibility.

Automation also strengthens accountability by creating a clear record of every decision.

Conclusion

Manual approvals can create delays, confusion, and accountability issues. A digital approval workflow brings structure to everyday business decisions and helps teams work faster.
